When Should You Have Your Corporate Event?
Timing is an important factor in any event’s success. The “best” time for your corporate event can vary depending on the nature of the event (retreat, holiday party, etc.), location and goals. Here are our pros and cons for each season.
Spring
The time period between March and May is one of the most popular times to host corporate events.
Pros:
- Weather: Mild temperatures and more sunshine are present in many locations, including our Wildwood, GA location near Chattanooga, which is perfect for both indoor and outdoor events.
- Winter Hibernation Has Ended: As spring gets into swing, people are ready to get out and about and are more open to engaging in new activities.
- Less Competition: Now that the big holidays are over, venues and services may be more available and less expensive unless everyone else has the same idea!
Cons:
- School Breaks: Families may go on vacation during spring break or right after the school year ends, potentially making it harder to get employees to attend if they’re away with children.
Summer
The summer season of June through August has its share of pros and cons as well for corporate event planning.
Pros:
- Great for Outdoor Activities: Summer is perfect for team-building exercises, conferences with outdoor networking events, or evening activities like BBQs and casual get-togethers.
- Lower Cost: While certain areas experience higher demand for venues this time of year, which can drive up cost, in our region summer is the least expensive time of year, which makes The Valley Venues a great option!
- Relaxed Vibe: In general, summertime has a more relaxed feel, so there’s less pressure for a formal event; laid-back and fun will work just fine.
Cons:
- Vacations: Many employees take time off during the summer months, especially in July and August, so attendance might be lower.
- Heat & Humidity: In some parts of the country, excessive heat and humidity can make it difficult to enjoy outdoor activities or to want to attend an outdoor event for a long duration.
Fall
September through November are also busy months for corporate events.
Pros:
- Weather: The weather is what makes the fall season a favorite for so many, temperatures are comfortable yet crisp, making it perfect for both indoor and outdoor events.
- Vacation Season is Over: With summer vacations over, most employees are back in the office and focused on work, so they have more availability to attend.
Cons:
- Back-to-School: Even though vacation season is over, now it’s time for back-to-school, which means families with children may be distracted or have a more difficult time attending with school and extracurricular activities filling the calendar.
- Holiday Planning: As fall moves into the holiday season, employees could become preoccupied with holiday travel or work plans.
Winter
December is one of the busiest times of year for most of us, however, January and February tend to slow down and could be ideal for corporate events.

- Holiday Themes: December provides an opportunity to integrate holiday celebrations into your corporate event planning, offering a festive atmosphere.
- End-of-Year Celebrations: Depending on the type of corporate event you have in mind, this could be a great time for planning future strategies, setting goals or hosting events focused on reflection and recognition, like awards ceremonies.
- Off-Peak Pricing: Many venues and services are less expensive in winter, as it’s generally a quieter time for corporate events, except for the holiday season, of course!
Cons:
- Weather Challenges: Snow and cold weather can disrupt travel plans for corporate events and planning an outdoor event is impractical across much of the U.S. this time of year.
- Holiday Conflicts: Many employees take time off around the holidays, and others may be busy with family obligations, impacting attendance. After the holiday season, employees may partied out, so to speak, which can also impact attendance.
